People

People are the human collaborators attached to a Sharkly Organization. They can create and update tasks, comment, receive Inbox items, be assigned work, review Agent results, and manage settings permitted by their roles.
People are distinct from Agents and Crews. A person can be responsible for a task while an Agent or Crew is assigned to execute it.

Organization membership#

A person first joins an Organization. The Organization role controls broad administrative capability, while Space membership controls access to specific work areas.
A person can belong to the Organization without belonging to every Space.

Organization roles#

RoleCurrent access model
OwnerFull Organization settings access. An Organization must retain at least one Owner.
AdminCan manage People and Organization settings, subject to Space visibility rules.
MemberCan create and work on tasks, find and join public Spaces, and access Private Spaces to which they are added.
GuestCan access only Spaces to which they are explicitly added. Guests do not discover or self-join public Spaces.
The last Organization Owner cannot be demoted or removed until another person has been promoted to Owner.

Space membership#

Space access is represented separately from Organization membership.
Public Spaces can be found and joined by Owners, Admins, and Members.
Private Space tasks and working content are available only to Space members.
Organization Owners and Admins can see Private Space metadata and manage non-roster configuration without Space membership, but they cannot access task content or the Space members roster.
Guests can access only Spaces to which they have been added.
A Space member has one Space role:
Administrator manages Space settings, configuration, and membership.
Member creates and updates work in the Space.
Viewer cannot create or edit tasks in a Private Space but can still comment and add attachments. In a Public Space, the Viewer role does not add the same task-edit restriction.
These roles apply only inside that Space and do not replace the Organization role.

Invite People#

From People settings, invite one or more email addresses and choose:
The Organization role.
Optional Spaces the invitees should join after accepting.
Pending invitations remain visible until accepted, revoked, expired, or failed. A pending invitee can also appear in task assignment or subscription pickers; those references are converted to the joined person when the invitation is accepted.

Invite links#

An Organization invite link can add People as a Member or Guest and can include selected Spaces. Resetting the link invalidates the previous URL.
Use invite links only when everyone who receives the link should receive the configured role and Space access. Use email invitations when access must be assigned to specific addresses or when a different role is required.

Manage a person's Spaces#

People settings show how many active Spaces a person belongs to and allow eligible administrators to change those memberships.
Adding a person to a Space grants access to that Space's tasks, Projects, Views, Sprints, Automations, and settings allowed by their roles. Removing them from a Space removes that Space membership but does not remove them from the Organization.
Sharkly prevents removing a person from their only active Space through the Space membership action. Remove them from the Organization instead when all Organization access should end.

Change roles or remove a person#

Changing an Organization role affects administrative capability across the Organization but does not automatically add the person to Private Spaces.
Removing a person from the Organization removes their Organization access. Review task assignments, Project ownership, subscriptions, and Space responsibilities before removal so work is not left without an appropriate owner.

Common access checks#

If a person cannot see a task, check:
1.
The task's Organization.
2.
The task's Space.
3.
Whether the Space is Public or Private.
4.
Whether the person is a member of that Space.
5.
Whether a pending invitation has been accepted.
If a person can see work but cannot change a setting, check both their Organization role and their Space role.
