Task labels are colored markers for lightweight classification. Use them for topics, components, sources, risks, campaigns, or other properties that do not need their own task type or structured custom field.Labels do not define a task's Workflow or field set.Organization and Space labels#
Sharkly supports two label scopes:Organization labels are available across the Organization.
Space labels belong to one Space and are available to tasks in that Space.
A task can use Organization labels and labels owned by its Space. It cannot use labels owned by another Space.Organization Owners and Admins manage Organization labels. Space Administrators manage labels owned by their Space.Label properties#
Optional single-choice group.
Organization or Space scope.
Active or archived state.
Keep names short enough to scan on cards, lists, filters, and task details. Use descriptions when the correct use is not obvious from the name.Single-choice groups#
A single-choice group contains labels that are mutually exclusive on a task. A task can have at most one label from the same group. For example, a Risk group might contain:Selecting a different label from the same group replaces the previous choice rather than adding both.Use an ungrouped label when several values may apply at the same time.Apply and remove labels#
Add or remove labels from task details or task lists. Task-list batch actions can update labels on several tasks at once.Archived labels cannot be newly applied, but tasks that already have them keep the historical label.Moving tasks between Spaces#
When a task moves to another Space:Organization labels are retained.
Labels owned by the source Space are removed unless they are owned by the target Space, which a Space label normally is not.
Review labels after a move and add the target Space's equivalent classification when needed.Archive, delete, or merge labels#
Archive#
Archive a label to remove it from pickers while preserving it on existing tasks. This is the safest first step when a label should no longer be used.Delete#
Deleting a label removes it from tasks. The confirmation shows whether the label has current usage. Deletion cannot be undone.Merge#
Merge duplicate labels into one active label. Task assignments from the source labels move to the selected target, and the source labels are removed. Before merging, confirm that the labels truly have the same meaning and compatible scope.Labels versus task types and custom fields#
Use a task type when a category needs its own Workflow or field set.
Use a custom field for structured values such as a number, date, member, or controlled selection.
Use a label for flexible, visible classification that can be combined with other labels.
If a label starts carrying required process data, move that information to a task type or custom field.Filter and save labels in Views#
Labels can be used in task filters and display settings. Save a repeated label-based perspective as a View in the current Space. For consistent results, merge duplicate names and archive labels that should no longer be selected. Modified at 2026-08-04 04:02:55
